Payment Terms and Conditions
LG Seeds Brand Trip | 4-Nights Feb. 25- Mar. 1, 2025 

These Terms & Conditions (“Terms”) form a contract between AgReliant Genetics, LLC (“AgReliant”) and the travelers identified within the registration form (the “Travelers”) governing Travelers’ registration to attend the 2025 LG Seeds Brand Trip to Los Cabos, Mexico (“Trip”). Please read these Terms carefully.

  • Reservation Requirements for LG Dealers and LG Employees: The Travelers’ reservation for the Trip is confirmed once all members of the traveling party have registered online and agree to the Trip’s Terms & Conditions. All travelers can register and agree to the Trip’s Terms and conditions by visiting this site: Online registration
  • Reservation Requirements for Guests of LG Employees: If the traveler is a guest of an LG Seeds Employee (this does not apply to guests of qualified LG Dealers), their reservation for the Trip is confirmed once they have been registered online, agree to the Trip’s Terms & Conditions AND the LG Seed’s Employee’s guest fee has been paid online at the following website: Payment for Guest of LG Seed’s Employee’s Guest.
  • Entry/Participation Requirements. AgReliant advises the Travelers to check the country’s official page for entry requirements. It is the responsibility of the Travelers to ensure they each meet all entry requirements. A valid passport is required for international travel. Passports should have 6 months’ validity on them from the return date of the Trip. The Travelers understand it is their responsibility to arrive in time for travel departure. AgReliant assumes no responsibility, liability, or expense for the Travelers’ inability to travel or participate in any activity or event hosted by AgReliant due to insufficient, inaccurate, or expired travel, medical, and identifying documentation by the Travelers, or failure to arrive on time for travel departures or participation in events or activities for any reason, including those reasons that are out of the control of the Travelers.
  • Compliance with Laws. The Travelers agree to abide by all applicable domestic and international laws and regulations in the countries of travel and residency
  • Acknowledgement of Risk, Assumption of Risk, and Release of Liability. The Travelers understand and acknowledge that the Trip has some inherent risks, dangers, and hazards, including (i) risks of travel interruption, delays, crashes, and/or airborne or foodborne illnesses; (ii) luggage being lost, misdirected, or stolen during travel; (iii) inherent risk of injury, illness, death, and/or other bodily harm; (iv) risks related to bus transportation and other trip-related services performed by certain third party suppliers; (v) damaged, lost, or stolen property; and (vi) hospital facilities, qualified medical care, and emergency medical evacuation being limited or unavailable during the Trip and, where available, may be expensive. This list of risks is not an exclusive or exhaustive list of all the risks and hazards associated with the Trip. By participating in the Trip the Travelers voluntarily and irrevocably accept and assume all risks, dangers, and hazards, such as the risks identified above, whether known or unknown, whether foreseeable or unforeseeable, and all responsibility for any and all losses and/or damages, whether caused in whole or in part by the negligence or other conduct of AgReliant or its employees, agents, or contractors/third-party suppliers (collectively, the “Trip Releasees”) . The Travelers agree to release and absolve the Trip Releasees from any and all liability for personal injury and property damage during the Trip. The Travelers understand that this release means that Travelers, along with their family, guardians, estate, heirs, executors, administrators, assigns, and personal representatives, give up their right to bring any claims, lawsuits, or causes of action, including claims for personal injuries, death, disease, or property losses, or any other loss, and also including, but not limited to, claims of negligence and breach of contract.
  • Indemnification. The Travelers, along with their family, guardians, estate, heirs, executors, administrators, assigns, and personal representatives, agree to indemnify, defend, and hold harmless the Trip Releasees from and against any and all costs, expenses, damages, claims, lawsuits, judgments, losses, and/or liabilities (including but not limited to attorney fees) arising either directly or indirectly from or related to any and all claims made by or against any of the Trip Releasees due to injury, illness, death, other bodily harm, loss of use, monetary loss, or any other injury from or relating to my participation in the Trip, whether or not caused by the negligence or other conduct of any Trip Releasees.
  • Loss, Theft, or Damage. Without limitation of any other provision of this Agreement, the Travelers understand and agree that the Trip Releasees will not be liable for any loss or theft of or theft or damage to the Travelers’ respective property, regardless of the cause.
  • No Reimbursements. The Travelers understand that all required credentials, visas, permits, insurance, and other travel, medical, and identifying documentation are the sole responsibility and at the sole expense of the Travelers.

Cancellation. AgReliant is not responsible for refunding Travelers for any ancillary expenses incurred by the Travelers, and which are not included within the package price of the Trip. Cancellation after such date may be subject to cancellation charges as follows:

  1. For cancellations from November 1 to November 24, 2024: no fee.
  2. For cancellations from November 25 to December 31, 2024: $100 per person.
  3. For cancellations from  January 1, 2025 to the date of the trip:  The cost of any airline tickets issued for the Travelers.  If airline tickets have been issued, each Traveler will retain a credit (minus airline fees) for the value of the ticket good for one year after the date the ticket was issued.

Cancellations must be emailed to lference@spmeetings.com and received by 5:00 pm EST on the last day of the applicable cancellation time period.

  • Events Beyond AgReliant’s Control. Except where otherwise expressly stated in these Terms, AgReliant will not be liable or pay the Travelers compensation if AgReliant’s obligations under these Terms are affected by Events Beyond AgReliant’s Control, including cancellation of the Trip. “Events Beyond AgReliant’s Control” means any event beyond AgReliant’s, its agents’, or its contractors’/third-party suppliers’ control, the consequences of which could not have been avoided even if all reasonable measures had been taken. Examples include warfare and acts of terrorism (and threat thereof), civil strife, significant risks to human health such as, epidemics, pandemics (including the ongoing impact of the COVID-19 pandemic), the outbreak of serious disease at the travel destination or natural disasters such as floods, earthquakes or weather conditions which make it impossible to travel safely to the travel destination or remain at the travel destination, the act of any government or other national or local authority including port or river authorities, industrial dispute, labor strikes, lock closure, natural or nuclear disaster, fire, chemical or biological disaster, unavoidable technical problems with transport and all similar events.
  • Governing Law. These Terms shall be governed by the laws of the state of Indiana.

Terms & Conditions – Extra Nights/Deviations

If you’re interested in a deviation (additional nights or non-group flights), you can specify your deviation request during online registration by choosing a non-group departure airport, non-group travel dates or in the “Other important information” text box. Additional fees for deviations may apply, and deviation fees will be charged to the participant. All deviation arrangements are subject to the Deviation Terms & Conditions, which participants will be responsible for. For those who are interested in a deviation, please review the steps and terms below.

Steps to Confirm Extra Nights/Deviations

1. Meet “Reservation Requirements” from the Trip’s Terms & Conditions (listed above).

2. Proposal Email: Summit will email the Attendee meeting the Reservation Requirements. After you reply to the proposal email agreeing to the additional cost, Summit will email you an invoice for payment.
3. Confirm Extra Nights: Provide payment within 24 hours of receiving the invoice to confirm your deviation. Summit will follow up with an email to confirm your deviation, and your deviation arrangements are subject to the Deviation Terms & Conditions detailed below.

Cancellation Terms for Extra Nights/Deviations :
The cancellation and change terms listed below apply only to the Extra Nights/deviation portion of your trip and are in addition to any cancellation terms applicable to the “Group Nights”.

If you need to make changes or cancel a deviation, please contact Lindsay at Summit lference@spmeetings.com  or by calling Summit at 574-968-4301. If you cannot make the trip for whatever reason, you will be responsible for confirmed deviation fees. Summit will work with suppliers to obtain refunds where possible.

The cancellation and change terms listed below apply only to the deviation portion of your trip.
Deviation – Hotel Reservations: The cost of extra nights for your stay are non-refundable from the time of payment.
Deviation – Ground Transfers: The cost for deviated ground transfers in the destination are non-refundable within 72 hours of the trip’s departure date.
Deviation – Airline Reservations: For flight accommodations, an air credit from the trip is applied before charges are assessed. Your tickets will be issued once online payment is provided to Summit. You must contact us, during normal business hours*, within 24 hours of providing payment with any necessary corrections to avoid fees/charges. If you cancel subsequent to confirming travel accommodations, you may be charged the fees outlined in the email with your deviation proposal from Summit Planners. According to airline policy, issued airline tickets are non-refundable and any changes or cancellations will incur a fee/and or additional airline charges plus any fare difference. In some cases, changes to the itinerary or passenger name invalidate the airline ticket and require you to purchase another replacement ticket. No shows will result in forfeit of ticket value. Flight schedules are subject to schedule changes from the airline. Summit Planners will send you a final itinerary 30 days prior to departure day.
